President Executive Job Description

5.      Position is a 2 year term, elected in odd number years and renewable once for a total of 4 years.

RESPONSIBILITIES

 

 

1.      Preside at all the meetings of the Association and Executive Committee.

2.      Act as a signing officer for the Association in all legal matters. 

3.      One of four (4) signing authorities for financial disbursements.

4.      Sit on all committees as an ex-officio member.

5.      Will be advised and consulted in all disciplinary matters.

6.      Act as the official representative of the Association.

7.      Meet with all Committee Chairpersons prior to the hockey season to establish a season plan, assure the
         have been given the necessary information pertaining to their respective committee.  Establish a schedule
         of committee meetings for the season.

8.      Ultimately responsible for the appointment annually of the Referee in Chief, Head Gate Keeper and Head Clock Person.

9.      Will only cast a vote in the event of a tie.

10.    Remain neutral in discussions and refrain from disclosing their opinion unless called upon to vote.

11.    Position is a 2 year term, elected in odd number years and renewable once for a total of 4 years.




1st Vice President (House League) Executive Job Description

4.      Authority to enforce the rules, regulations and guidelines established by the EMHA.

2nd Vice President (Representative League) Executive Job Description

RESPONSIBILITIES

1.      Perform the duties of the President in the absence of both the President and the 1st Vice President.

2.      Responsible for the operation and organization of the Representative and Select Teams.

3.      Authority to enforce the rules, regulations and guidelines established by the EMHA.

4.      Serve on the Coaches Selection and Development Committee.

5.      Serve on the Policy and Discipline Committee.

6.      Serve on the Tournament Committee.

7.      Assist the Registrar in the rostering of all Representative teams.

8.      Develop and maintain a list of board-approved guidelines for all Rep. Teams, to be presented to the Executive 
         1 month before tryouts start.

9.      Represent the EMHA at all Ontario Minor Hockey Association (OMHA) and Representative League meetings and
         report back to the board with regards to these meetings.

10.    Serve as EMHA representative to local AAA Zone organization and any local Junior Hockey clubs.

11.    Appoint a board approved assistant if necessary to assist in the completion of his/her duties.

12.    Verify Referee and clock personal are assigned thru WECRA (Windsor-Essex County Referee’s Association) and
         EMHA Arbiters system for each game based up current schedule.




Secretary Executive Job Description

RESPONSIBILITIES

1.      Keep complete and accurate records of the proceedings of the Association.

2.      Act as custodian of all books, records and documents of the Association.

3.      Make all necessary arrangements for meetings of the Executive Committee, and notify the Executives
         and any other persons deemed necessary of the location, time, and date of the meeting.

4.      Supply all Executive members a copy of the minutes of the previous meeting 48 hours prior to the next regular meeting.

5.      Serve as a signing officer with the President in all of the Associations legal matters.

6.      Forward all approved meeting minutes to the Member Relations Director to be posted on the EMHA website.

7.      Bring a copy of the updated Constitution and Bylaws, as well as the Rules of Operations.

8.      Present to the Executives at the January regular meeting any proposed amendments to the Constitution brought
         forward throughout the year.

9.      Submit all correspondence and phone messages to the President, as needed.

10.    Be available to the Policy and Discipline Committee, as needed, more so in areas concerning revision/creation of policies, etc.

11.    Serve on the Election/Nomination Committee as Co-Chair or Chair.




Director of Player Development Executive Job Description

5.      With the assistance of the Executive Board, appoint members annually to the Player Development Committee. 
         Committee with consist of a minimum of five (5) and a maximum of seven (7) members, with one member
         being the Timbit Convenor.

Director Job Description

         communication between coaches and executive, general supervisory of activities, organize pre-season player
         evaluation and draft and to assist with Day of Champions.

2.      Carry out any other tasks deemed necessary by the 1st Vice President.

3.      Position shall be a 2 year term with three(3) directors elected in odd number years and two(2) directors
         elected in even number years.




Equipment and Asset Manager Job Description

4.      Develop and maintain an effective storage system to assure neatness and ease of use of all EMHA equipment.

5.      Develop and maintain a board approved Goaltender Equipment Supply program.

6.      Work with the Town of Essex employees annually to update Banner placement within the arena.

7.      Maintain EMHA trophies and trophy cases.

8.      Responsible for the maintenance of EMHA office equipment. (Ex. Photocopier, telephone etc.)

9.      Position shall be a 2 year term elected in odd number years.






Timbit Convenor (Player Development Assistant) Job Description

1.      Oversee the Timbit program as needed, including general supervisory duties, including: organizing player
         evaluation, communication amongst coaches and parents throughout the season.

2.      Maintain communication throughout the season (as needed) with the 1st Vice President, Registrar and
         Director of Player & Coach Development.

3.      Assist with Day of Champions.

4.      Develop and maintain a schedule for practice times and game times for all teams throughout the season.
         Ensure all parents/website, etc are updated as needed.

5.      Serve as a member of the Player Development Committee.

6.      Position is a 2 year term elected in even years.






Fundraising Director Job Description

3.      Hand over all monies collected to the Treasurer.

4.      Serve as Executive representative in matters concerning the Fundraising Committee.

5.      Serve as Chairperson of the Sponsorship and Fundraising Committee.

6.      Set yearly fundraising goals with assistance of Committee, etc. and all financial information will be reported
         to the Treasurer, for reporting to the Exective.

7.      With the assistance of the Executive, shall appoint members annually to the Sponsorship and Fundraising
         Committee to a minimum of 5 and a maximum of 7, preferably from the general members.

8.      Serve as a member on the Tournament Committee.

9.      Position is a 2 year term elected in even years.






Member Relations Director Job Description

Registrar Job Description

         and fees are implemented as approved by the Executive.

2.      Work with the Treasurer providing regular reconciliation of registration to ensure all registration receipts
         are properly recorded in the Associations books.

3.      Assist the Treasurer in preparing adequate working papers for the external auditors with respect to registration revenues.

4.      Hand over all monies collected to the Treasurer.

5.      Report monthly the current registration numbers.

6.      With the assistance of the 1st Vice President and 2nd Vice President roster all registered players as per OMHA guidelines. 

7.      Establish and maintain a convenient registration system and schedule for all EMHA members.

8.      Work to grow registration in EMHA.

Risk Management Director Job Description

         minimum of 5 and a maximum of 7 members two of which will be the 1st Vice President and the 2nd Vice President.

3.     Develop and maintain a database of all coaching, staff and volunteer police clearances on file. Ensure all staff
        members and volunteers are on file and updated as needed, yearly.

4.      Act as the Associations Privacy Officer.

5.      Position shall be a 2 year term elected in odd number years.




Ice Time Coordinator Job Description

RESPONSIBILITIES

1.      Responsible for the acquisition and scheduling of ice time as it relates to try-outs, games, practices and clinics.
         A draft of the yearly schedule must be available for Executive approval at the July meeting each season

2.      When Representative teams have been registered, will organize a season long schedule for their respective
         leagues assuring balance of ice allotment team to team.

3.      When House League teams have been registered, will organize a season long schedule meeting the needs of
         their respective leagues assuring balance of ice allotment team to team.

4.      Prepare individual season long calendars for each team for distribution at the pre-season coaches meeting.

5.      Attend any league scheduling meetings to assist coaching staffs in the scheduling of games.

6.      Update the master schedule following any scheduling meeting reallocating ice time around scheduled team
         tournaments and league games assuring balance among teams.

7.      Update master game calendar on the EMHA Website.

8.      Work closely with the 2nd Vice President during OMHA playdowns to ensure the fulfillment of contracted
         games while maintaining each team’s practice schedule.

9.      Assist the 1st Vice President and 2nd Vice President in an advisory capacity as needed.

10.      Responsible for the daily maintenance and communication of official schedules with all conveners, teams,
           and referee / clock in chief.   

11.      Provide a monthly report to the Executive on ice usage as well as an annual report to be presented at
           the Annual General Meeting.

12.       Position shall be a 2 year term elected in odd number years.






Treasurer Job Description

RESPONSIBILITIES

1.      Keep an accurate record of all monies received and disbursed, deposit all monies in the bank, invest surplus
         funds and ensure all disbursements are made by cheque.

2.      Present at each Annual General Meeting a report of the year’s operation.

3.      Arrange for an annual Audit of the Associations operation and be the primary liaison with external auditors
         to ensure the annual audit is performed in an efficient and timely manner.

4.      Have an up to date financial report at each Executive meeting.

5.      Advise the Executive on all financial matters and shall make recommendations for actions to maintain
         the internal control, financial stability and strength of the Association.

6.      Responsible to oversee the disbursement of all payments.

7.      Act as one of four signing authorities for financial disbursements.

8.      The year end shall be April 30th, annually.

9.      Responsible for the payment of clock-persons and referees for House League on a weekly basis or as
         otherwise required.

10.    Responsible for the review and reconciliation of Rep. Teams gate keeping and payment of clock-persons
         and referees to ensure adequate performance by head gatekeeper.

11.    Responsible for the oversight of all Rep.Teams financial positions to ensure and promote adequate team
         financial processes and reporting by the manager, review of semi-annual travel team financial statements
         as submitted by each team manager, and acts as primary liaison for team managers from a financial perspective.

12.    Responsible for financial reports as related to both the Tournament Committee and the Fundraising Committee.

13.    Position shall be a 2 year term elected in even number years.
